The company’s current archiving system and related processes are largely manual without any integrations into external systems. To reduce operational and personnel-related risks, as well as minimizing manual work steps, the company intends to procure a largely automated and integrated solution for archiving.
The scope of the procurement is a SaaS-based archiving system accessible via a web browser and hosted in the cloud. The solution should provide secure, centralized storage and long-term preservation of electronic records ja documents, ensuring their availability, integrity, authenticity, and confidentiality throughout their lifecycle.
The solution may be adopted for broader organisational use over time. Consequently, the overall scope and value of the service may increase during the contract period.
This is not a contract notice or an invitation to tender, but a request for information (RFI) intended for potential suppliers. The purpose of the RFI is to survey the market and to gather information and comments from suppliers to support procurement planning and market analysis as part of a preliminary market consultation.
Furthermore, the purpose of the RFI is to assess with market participants whether the preliminary requirements planned for the upcoming procurement are relevant in order to ensure a successful tendering process, which is estimated to take place during Q4 2026.
No tenders are requested or accepted in response to this RFI.
The contracting authority will not respond to comments or additional questions submitted. The contracting authority reserves the right to continue the market consultation process through supplier meetings or other forms of market dialogue with respondents. The purpose of such discussions would be to further validate the proposed requirements, evaluation criteria, and commercial approaches prior to launching the procurement procedure. The RFI or any other market consultation measures do not obligate the contracting authority to carry out a procurement or to implement it in the manner described in the RFI. The contracting authority is not obliged to take into account the responses received in the preparation of the invitation to tender.
No compensation will be paid to respondents for replying to the RFI or for participating in any potential market dialogue event. Responding to the RFI does not bind the supplier to participate in any subsequent tendering process, nor is it a prerequisite for participation in a future tender. Responding or not responding to the RFI will not affect the supplier’s position in any future tendering process.
